Client Operations Specialist

Client Service

  • Prepare client review summaries for upcoming appointments
  • Prepare prospective client evaluations 
  • Account maintenance: Beneficiary changes, address changes, etc.
  • Send contribution checks to custodians
  • Process withdrawals through custodians; including RMDs, systematic withdrawals, and withdrawal requests
  • Speak with clients on the phone to assist in any customer service requests 

Database Entry

  • Input all client correspondence notes into CRM 
  • Scan and upload all client service requests to proper file in Redtail Imaging
  • Maintain records of systematic contributions and distributions 

Portfolio Management

  • Invest new accounts into specified portfolios and assist with recommendations
  • Manage brokerage models within Fidelity and keep up to date 
  • Rebalance accounts to raise cash for requests and systematic withdrawals
  • Dollar cost average new funds into brokerage models
  • Manage trading restrictions 
  • Maintain and update investing list of all new funds being added to brokerage accounts
  • Maintain and update monthly lists of all funds being added to brokerage accounts 
  • Manage requests relating to REITs held in brokerage accounts
  • Manage any corporate actions within brokerage accounts
  • Communicate with AEWM for trade requests and client service requests 

Misc./Marketing

  • Attend and setup for client events and educational seminars
  • Act as phone back-up for income calls in a friendly manner
  • Serve as back-up new business processor
  • Maintain professional communication with clients and team
  • Serve as back-up for annuity client service
  • Assist with any back office tasks
